Automation, The Future of Office Managements

At this juncture one might ask, what on earth has all this to do with Office Management? And the answer is that it has everything to do with office management. With technology taking precedence over every small aspect of our lives why should a cumbersome and comprehensive job like office administration take a back seat?

One needs to only look around to notice that even with all these technological advancements many time-consuming, painstaking jobs are still done manually. To elaborate, consider a front office scenario where you have to wait in a long queue, and after having done so for ten minutes you have to manually fill up all the details of your visit in a register. Now imagine that if there are ten or fifteen mandatory fields that you will need to fill up every single time that you visit. Wouldn’t it be easier if a machine could take this data down once and never have to ask you again for your name or number?

But then what about the money that is saved using the manual system of registers as opposed to buying equipment to do the job? The truth is that we all seem to suffer from the misconception that a manual system like a register would save you money while in reality in the long run using a register would lead to big time losses! Imagine the discomfort and the vexation of the visitors that visit your front office while your competition may just have a software solution in place to handle all their reception needs and visitors might be breezing in and out of their hassle-free front office. In a highly competitive market where time is money will one be willing to take the risk

It is well known fact of business that financial losses are easy to recover from compared to hits that you may sustain to your reputation after all good rapport takes time and effort to bring about!

But is it feasible to automate all of them? Yes it is! Ask the person that handles all the keys of an establishment and he/she will tell you story upon story about how keys are not returned, and how keeping track of who has which key and for how long has become a mind boggling task. Ask a call operator and find out all about calls that go missed, unanswered and unattended to; ask an administrator how hard it is to keep track of employees working on holidays! Complete office management through automation is not just feasible; its more than feasible its an absolute necessity if one is aiming to excel at business!
